How To synchronize the Microsoft Outlook Offline Address Book (OAB)

To synchronize the Microsoft Outlook Offline Address Book (OAB), navigate to the Send/Receive tab, then click Send/Receive Groups, and finally select Download Address Book. In the dialog box, ensure “Download changes since last Send/Receive” is checked, and click OK. This will update the OAB with the latest information from the server. 

Detailed Steps:

  1. Open Outlook: Launch the Microsoft Outlook application. 
  1. Go to Send/Receive Tab: Click on the Send/Receive tab in the Outlook ribbon. 
  1. Access Send/Receive Groups: In the Send/Receive Groups section, click Send/Receive Groups. 
  1. Download Address Book: Select Download Address Book. 
  1. Configure Download: In the Offline Address Book dialog box, ensure that the “Download changes since last Send/Receive” checkbox is selected. Optionally, you can choose to download “Full Details” if you need more detailed information. 
  1. Confirm and Download: Click OK to initiate the download and update of the Offline Address Book. 

Important Notes:

  • The OAB is automatically updated by Outlook, but manual synchronization can be helpful for immediate updates or when encountering issues. 
  • It may take some time for the changes to fully propagate, depending on the size of the update and network conditions. 
  • If you’re not seeing expected changes, try restarting Outlook or checking the “Send/Receive” settings for any potential conflicts. 
  • If you still experience issues, you might need to force a full download of the OAB by unchecking the “Download changes since last Send/Receive” option in the dialog box.
